These Terms and Conditions govern the use of the website www.djsurajsingh.co.za and the provision of DJ, entertainment, event planning, wedding planning, sound, staging, lighting, audio-visual production and related event services by DJ Suraj Singh and SSP Sound, Staging, Lighting, Audio-Visual Productions (Pty) Ltd (“SSP”, “we”, “us” or “our”).

By accessing this website, requesting a quotation, making a booking or using our services, you acknowledge that you have read, understood and agreed to these Terms and Conditions.

1. COMPANY & SERVICES

DJ Suraj Singh and SSP provide professional entertainment and event production services, which may include:

  • DJ and music entertainment services
  • Wedding DJ services
  • Destination wedding DJ services
  • Wedding planning and coordination
  • Event planning and management
  • Sound and audio production
  • Lighting production
  • Staging
  • LED screens and visual displays
  • Audio-visual production
  • Event equipment and technical production
  • MCs, performers, dancers and entertainment
  • Event coordination and production
  • Special effects and pyrotechnics where legally permitted
  • Generators, cooling and heating solutions where available
  • Other event-related services agreed upon in writing

Services are subject to availability, venue requirements, technical requirements and the specific quotation or service agreement issued for each booking.

2. WEBSITE INFORMATION

We make reasonable efforts to ensure that information displayed on our website is accurate and up to date.

However, photographs, videos, service descriptions, equipment images, package descriptions, prices and other website content are provided for general information and may change without notice.

Website content does not constitute a binding quotation or guarantee of availability.

A booking is only confirmed once the required booking requirements have been completed and written confirmation has been provided by SSP or DJ Suraj Singh.

3. QUOTATIONS

All quotations are subject to the requirements supplied by the client.

A quotation may depend on:

  • Date and duration of the event
  • Venue location
  • Number of guests
  • Venue access and setup requirements
  • Equipment requirements
  • Technical requirements
  • Travel and accommodation
  • Staffing requirements
  • Event schedule
  • Additional services requested

Quotations are valid for the period stated on the quotation. If no validity period is stated, SSP reserves the right to revise the quotation before confirmation of the booking.

Additional services requested after acceptance of a quotation may result in additional charges.

4. BOOKINGS & CONFIRMATION

A booking is considered confirmed only once:

  1. The client has accepted the quotation or service agreement;
  2. The required deposit has been paid;
  3. The required booking information has been supplied; and
  4. Written confirmation has been issued by SSP or DJ Suraj Singh.

A provisional booking does not guarantee that the date will remain available.

Dates may be released to other clients until the booking deposit and required confirmation have been received.

5. DEPOSITS & PAYMENT

A deposit may be required to secure a booking.

The deposit amount, payment schedule and final payment date will be specified in the applicable quotation or booking agreement.

Unless otherwise agreed in writing:

  • Deposits are required to secure the booking date.
  • Final payment must be received before the event or by the date specified in the quotation.
  • SSP reserves the right not to provide services where required payments have not been received.
  • Bank charges, transaction fees or other payment-related charges may be for the client’s account.

Failure to make payment by the agreed deadline may result in cancellation of the booking.

6. CANCELLATIONS & POSTPONEMENTS

Cancellation and postponement terms will be determined by the applicable booking agreement.

Where a client cancels a confirmed booking, SSP may retain all or part of the deposit to cover costs, administration, preparation, loss of the booking date and other expenses incurred.

If an event is postponed, SSP will make reasonable efforts to accommodate the new date, subject to availability.

A postponement does not automatically guarantee availability on the new date.

If the new date is unavailable, the booking may be treated as a cancellation and the applicable cancellation terms will apply.

7. CLIENT RESPONSIBILITIES

The client is responsible for providing accurate and complete information regarding the event.

This includes:

  • Correct event date
  • Venue details
  • Event times
  • Setup and access times
  • Guest numbers
  • Music requirements
  • Technical requirements
  • Venue restrictions
  • Parking and loading arrangements
  • Power requirements
  • Relevant venue contact information
  • Any special instructions

The client must inform SSP of any changes to the event as soon as reasonably possible.

8. VENUE ACCESS & SETUP

The client is responsible for ensuring that SSP and its authorised staff, contractors and suppliers have reasonable access to the venue for setup, sound checks, installation, operation and breakdown.

Where required, the client or venue must provide:

  • Safe loading and unloading access
  • Suitable parking or loading facilities
  • Safe access to the event area
  • Appropriate electrical power
  • Adequate space for equipment
  • Weather protection for outdoor equipment
  • Required venue permissions

Delays caused by venue access restrictions, late access, venue staff, other suppliers or circumstances outside SSP’s reasonable control may affect setup or service time.

9. VENUE REQUIREMENTS & POWER

The client is responsible for notifying SSP of venue restrictions and requirements.

Where equipment requires electrical power, the venue/client must provide a suitable and safe electrical supply unless a generator or alternative power solution has specifically been included in the quotation.

SSP may refuse to connect equipment to an unsafe or unsuitable power supply.

Additional costs may apply where specialised power, generators, distribution equipment or technical solutions are required.

10. DJ & MUSIC SERVICES

DJ Suraj Singh will provide professional music entertainment based on the agreed requirements.

Clients may provide music requests, playlists or preferred genres before the event.

However, DJ Suraj Singh retains reasonable discretion regarding music selection, transitions, timing and programming in order to maintain the atmosphere and flow of the event.

Requests received during the event may be accommodated where reasonably possible.

The client acknowledges that music availability may depend on licensing, platform availability, technical limitations and the DJ’s professional judgement.

11. EVENT TIMINGS

The client must provide an accurate event schedule where specific music cues, speeches, entrances, special effects or production cues are required.

Delays caused by the client, venue, guests, other suppliers or changes to the programme may affect the timing of services.

Additional hours beyond the agreed booking period may be charged at the applicable overtime rate, subject to availability.

12. EQUIPMENT & PRODUCTION

SSP may provide professional equipment including sound systems, lighting, staging, LED screens and other production equipment.

Equipment supplied may differ from photographs or examples displayed on the website where an equivalent or suitable alternative is required.

SSP reserves the right to substitute equipment where necessary due to availability, technical requirements, safety considerations or equipment failure.

Where possible, substitutions will be of comparable quality and suitability.

13. DAMAGE, LOSS & MISUSE OF EQUIPMENT

The client is responsible for ensuring that SSP equipment is reasonably protected while located at the event venue.

The client may be held responsible for damage or loss caused by the client, guests, venue personnel or other persons under the client’s control where such damage or loss results from negligence, misuse or unauthorised handling.

Guests and unauthorised persons may not operate, move, disconnect or interfere with SSP equipment.

14. OUTDOOR EVENTS & WEATHER

For outdoor events, the client is responsible for providing suitable protection against rain, wind, extreme weather and other environmental conditions.

SSP reserves the right to stop, modify or relocate equipment or services where weather conditions create a safety risk.

Equipment may not be operated in conditions that could reasonably cause damage or create danger to guests, staff or property.

15. PYROTECHNICS & SPECIAL EFFECTS

Pyrotechnics, special effects, smoke effects, cold sparks and similar services are subject to venue approval, applicable laws, safety requirements and availability.

SSP may refuse or modify any special effect where it is considered unsafe or where required approvals have not been obtained.

The client is responsible for notifying SSP of venue restrictions relating to special effects.

16. TRAVEL & ACCOMMODATION

Where an event takes place outside the agreed service area, additional charges may apply for:

  • Travel
  • Accommodation
  • Meals
  • Transport
  • Equipment transportation
  • Additional staff
  • Logistics

Any applicable travel and accommodation requirements will be included in the quotation where known.

17. THIRD-PARTY SUPPLIERS

SSP may work with or engage third-party suppliers, technicians, entertainers, transport providers and contractors.

Where third-party services are specifically arranged on behalf of the client, the applicable third-party terms may also apply.

SSP will make reasonable efforts to work with reputable suppliers but cannot guarantee the actions or performance of independent third parties outside SSP’s direct control.

18. FORCE MAJEURE

SSP will not be liable for failure or delay in performing services caused by circumstances beyond its reasonable control.

These may include:

  • Natural disasters
  • Severe weather
  • Flooding
  • Fire
  • Power failures
  • Government restrictions
  • Road closures
  • Civil unrest
  • Strikes
  • Venue closure
  • Serious equipment or infrastructure failure
  • Acts of God
  • Medical emergencies
  • Transport disruptions
  • Other unforeseen circumstances beyond reasonable control

Where possible, SSP will make reasonable efforts to provide an alternative solution.

19. LIABILITY

SSP will exercise reasonable care and professionalism when providing services.

However, SSP shall not be responsible for indirect, consequential or unforeseeable losses arising from circumstances outside its reasonable control.

Where equipment or services are affected by venue infrastructure, electrical supply, other suppliers, guests or circumstances outside SSP’s control, SSP will not be responsible for resulting losses to the extent permitted by applicable law.

Nothing in these Terms and Conditions excludes or limits any liability that cannot legally be excluded or limited under South African law.

20. PHOTOGRAPHY, VIDEO & PROMOTIONAL MATERIAL

Unless otherwise agreed in writing, SSP may use photographs, videos or promotional material captured during events for legitimate marketing and promotional purposes.

This may include:

  • Website content
  • Social media
  • Advertising
  • Promotional videos
  • Portfolio material

Where a client specifically requests that identifiable images or footage of their event not be used for promotional purposes, the client should notify SSP in writing before the event.

21. INTELLECTUAL PROPERTY

All website content, branding, logos, photographs, graphics, videos, written material and original promotional content belonging to DJ Suraj Singh or SSP remain the property of their respective owners unless otherwise stated.

Unauthorised copying, reproduction, modification, distribution or commercial use is prohibited.

This includes the unauthorised use of the DJ Suraj Singh name, logo, photographs, SSP branding and promotional material.

22. PRIVACY & PERSONAL INFORMATION

SSP respects the privacy of clients and website visitors.

Personal information supplied through the website, enquiry forms, email, telephone or other communication channels may be used for:

  • Responding to enquiries
  • Preparing quotations
  • Processing bookings
  • Providing services
  • Communicating with clients
  • Managing events
  • Accounting and administrative purposes
  • Marketing where legally permitted

Personal information will be handled in accordance with applicable South African privacy and data-protection requirements, including the Protection of Personal Information Act (POPIA), where applicable.

23. WEBSITE LINKS & THIRD-PARTY CONTENT

The website may contain links to third-party websites, social media platforms or other online services.

SSP is not responsible for the content, availability, privacy practices or terms of third-party websites.

Users access third-party websites at their own risk and should review the applicable terms and privacy policies.

24. WEBSITE AVAILABILITY

We do not guarantee that the website will always be available, uninterrupted, error-free or free from viruses or other harmful components.

We may modify, suspend or discontinue any part of the website without prior notice where reasonably necessary.

25. CLIENT CONDUCT

Clients and event attendees must behave respectfully towards DJ Suraj Singh, SSP staff, contractors, suppliers and equipment.

SSP reserves the right to withdraw services where staff or equipment are subjected to:

  • Abuse
  • Threats
  • Harassment
  • Violence
  • Intimidation
  • Unsafe working conditions
  • Deliberate equipment damage
  • Serious misconduct

Where services are withdrawn due to such conduct, the client may remain liable for the agreed booking charges and any resulting costs.

26. CHANGES TO SERVICES

SSP reserves the right to make reasonable changes to services, packages, equipment and pricing.

Any material changes to a confirmed booking will be communicated to the client where reasonably possible.

27. GOVERNING LAW

These Terms and Conditions shall be governed by and interpreted in accordance with the laws of the Republic of South Africa.

Any dispute arising from these Terms and Conditions or the provision of services shall, where possible, first be addressed through good-faith discussions between the parties.

Nothing in these Terms prevents either party from exercising any rights available to them under applicable South African law.

28. ACCEPTANCE OF TERMS

By submitting an enquiry, accepting a quotation, paying a deposit or booking DJ Suraj Singh or SSP services, the client confirms that they have read, understood and accepted these Terms and Conditions.

Specific booking terms contained in a quotation, invoice, contract or service agreement may supplement or override these general website Terms and Conditions where expressly agreed in writing.
